# Participation Terms – Dental Expert Panel

1. Who organises Dental Expert Panel

Dental Expert Panel is an initiative of KEY-STONE S.R.L. (“Key-Stone”), an Italian limited liability company with registered office at Corso Enrico Tazzoli 215/12A, 10137 Turin (Italy), registered with the Turin Companies Register under REA number TO-850109, VAT number IT07161770016.

2. What it is and what you are joining

Dental Expert Panel is a community of dental sector professionals who collaborate with Key-Stone on market research. By registering and accepting these Terms, you apply to join the panel. This means that:

  • Key-Stone may send you invitations to surveys, individual interviews, focus groups, expert panels and other market research relevant to your professional profile, by email and, if you have provided it, by telephone.
  • You will be able to access the content, data and results that Dental Expert Panel gradually makes available to its members.

3. Membership requirements

- Being of legal age.
- Carrying out one of the following professional activities in the dental sector:

- dentist or stomatologist, general or specialist;

- dental hygienist;

- dental nurse / assistant;

- dental technician;

- dental practice director or manager;

- purchasing manager of a dental practice or group.

- If you are a dentist or stomatologist, providing your professional registration number and professional association. Key-Stone will check these details against public professional registers and inform you of the outcome within 30 days. Until then your registration will not be active and you will not receive study invitations. If verification is not possible, we will let you know and you may provide documentation proving your registration.

- Informing Key-Stone if you work for a manufacturer or distributor of dental products or for a market research company. This does not prevent registration, but we may not invite you to studies where there is a conflict of interest.

4. Free and voluntary participation

Registration is free. Participation in each study is always voluntary: you may accept or decline any invitation, or stop a study, without affecting your membership of the panel.

5. Your registration

  • Each person may have only one registration, which is personal and non-transferable.
  • You undertake to provide truthful data and keep it up to date, in particular your professional profile.
  • Key-Stone may ask you to confirm your email address or professional qualification.

6. How to take part in studies

  • Answer personally, honestly and with due care.
  • Key-Stone may exclude answers that do not meet minimum quality criteria: for example completion times incompatible with careful reading, inconsistent or repetitive answers, duplicate or automated participation.
  • Do not provide patients' personal data or third parties' confidential information.
  • The specific conditions of each study (approximate length, incentive, particular rules) will be stated in the invitation, before you agree to take part.

7. Incentives and remuneration

  • Some studies include an incentive or remuneration: for example vouchers, free reports or market studies, or a fee for interviews and focus groups. The type, amount and conditions will be communicated in the invitation, before you agree to take part.
  • Entitlement to the incentive arises on completion of the study with valid answers according to the criteria in section 6 and those stated in the invitation.
  • Incentives are proportionate to the time and professional commitment required. They are never linked to the purchase, use, prescription or recommendation of products or services.
  • Where necessary to make payment or meet tax obligations, Key-Stone will at that time ask you only for the strictly necessary additional data (for example your tax code). Each member is responsible for their own tax obligations relating to incentives received.
  • Key-Stone may publish more detailed incentive rules. Section 13 will apply.

8. Confidentiality

Information you learn by taking part in studies (concepts, products not yet on the market, materials and data of Key-Stone's clients) is confidential. You may not copy, photograph, record or disclose it to third parties, even after leaving the panel. Some studies may require acceptance of a specific confidentiality agreement before accessing materials.

9. Anonymity and use of answers

  • Key-Stone analyses answers in aggregate form and presents results in a way that does not identify you.
  • If in a specific study it is necessary to disclose your identity to Key-Stone's client, we will ask you first, with your explicit consent.
  • Any audio or video recordings and the presence of client observers will be communicated to you before the study, with the specific information and, where necessary, consent.

10. Content

The content, data and results Key-Stone shares with members are for information purposes and do not constitute individual professional advice. They are the property of Key-Stone or of the respective sources and may not be redistributed or commercially exploited without authorisation.

11. Leaving the panel

  • You may leave at any time by writing to info@dentalexpertpanel.com or using the link in our communications.
  • Key-Stone may remove a member who breaches these Terms, provides false data or participates fraudulently. In such cases, incentives for the affected participations will not be paid.
  • Key-Stone may remove members who have not taken part in any study for 24 months, after notice by email giving the opportunity to confirm their wish to remain in the panel.
  • Incentives already accrued and valid at the time of removal will be paid according to the study conditions.

12. Data protection

Key-Stone processes your personal data in accordance with the Dental Expert Panel Privacy Policy. Managing your registration, verifying your professional qualification and sending study invitations are based on your request to join the panel and on these Terms (Article 6(1)(b) GDPR).

13. Changes

Key-Stone may amend these Terms to reflect regulatory, technical or organisational changes to the panel. Substantial changes will be communicated by email at least 30 days in advance. If you do not agree, you may leave before they take effect. Each version is identified by its number and effective date.

14. Applicable law

These Terms are governed by Italian law. The courts of Turin shall have jurisdiction over any dispute, without prejudice to applicable mandatory rules, including those protecting consumers.
